Job Description

  • We are looking to hire a highly skilled and experienced Administrative Secretary who will provide high-level administrative and secretarial support to Partners and other fee-earners within the firm to enable them to operate at optimum efficiency.
  • The Administrative Seceratary’s role goes beyond routine secretarial/administrative tasks as they need critical time management, problem-solving and analytical skills, an eye for detail, and the ability to function as a trusted partner with the Executives they support.


Responsibilities

  • Facilitate effective and timely communication on behalf of Partners with Clients and other parties.
  • Provide calendar management for Partners, including daily agendas and scheduling.
  • Assist Partners in prioritizing their day, including meetings, appointments, correspondence, and other important tasks, ensuring they stay on schedule.
  • Oversee the production of legal documents, coordinating with internal teams and external parties as necessary.
  • Monitor deadlines and ensure the timely filing of legal documents, maintaining compliance with regulatory requirements and court procedures.
  • Coordinate logistics for legal meetings, conferences, and events, preparing materials, arranging catering, and coordinating travel as needed.
  • Maintain an effective filing system for legal documents and correspondence.
  • Prepare and draft documents, ensuring accuracy and adherence to appropriate standards.
  • Track legal and billable activities and review invoices and payments to ensure timely processing.
  • Provide cost-effective administrative and secretarial support to the partners and other fee-earners to enable them to operate at optimum efficiency.
  • Other tasks as assigned


Reporting Line:

  • The Administrative Secretarywill report to the Practice Manager.


Qualifications

  • HND/Bachelor’s degree in English, Business Administration, Secretarial Studies or a related field.
  • At least fiveyears of experience supporting senior level Executives in a corporate or legal environment.
  • Proficiency in all Microsoft Suite
  • Effective organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Strong attention to detail and a high degree of accuracy in all activities.
  • Exemplary professionalism and the ability to handle confidential information with the utmost discretion.

Salary

N300,000 (Slightly negotiable for a highlyexperienced candidate).
