Job Title: Executive Assistant (EA)

Reports to: Group CEO/Executive Management
Role Summary
- The Executive Assistant will provide high-level administrative, operational, and strategic support to the CEO and Executive Team.
- The role requires a highly organized, resourceful, and detail-oriented professional with excellent communication skills, capable of drafting proposals, managing schedules, coordinating follow-ups, and ensuring seamless executive operations.
Key Responsibilities
Executive Support & Coordination:
- Manage CEO’s daily schedule, meetings, travel, and communications.
- Prioritize and handle incoming requests, ensuring efficient decision-making.
- Maintain confidentiality and handle sensitive information with discretion.
Proposal & Document Preparation:
- Draft, edit, and format proposals, presentations, reports, and correspondence.
- Conduct background research and prepare briefing notes for meetings.
- Ensure professional, error-free documentation aligned with company standards.
Follow-Ups & Task Management:
- Track action points from meetings and ensure timely follow-ups with internal and external stakeholders.
- Coordinate and monitor deadlines for executives and departments.
- Maintain a system for reminders, tasks, and accountability reporting.
Communication & Stakeholder Management:
- Act as the first point of contact for internal and external stakeholders.
- Manage professional correspondence (emails, letters, calls) on behalf of the CEO.
- Build positive relationships with clients, partners, and government stakeholders.
Office & Administrative Support:
- Maintain organized digital and physical filing systems.
- Manage expenses, reimbursements, and office logistics related to executive activities.
- Support HR, finance, or communications teams where needed.
Key Performance Indicators (KPIs)
Task & Time Management:
- % of executive tasks, deadlines, and follow-ups completed on schedule.
- Reduction in missed meetings, deadlines, or action points.
- Efficiency in calendar management (conflict-free scheduling).
Proposal & Documentation Quality:
- % of proposals and reports delivered on time.
- % of documents requiring no major revisions from executives.
- Feedback from executives/clients on clarity, professionalism, and quality.
Communication & Stakeholder Handling:
- Response time to executive emails and requests.
- Stakeholder satisfaction score from internal/external interactions.
- Number of successfully coordinated meetings/events without errors.
Operational Efficiency
- Average turnaround time for follow-ups and reminders.
- Reduction in repeated administrative errors or oversights.
- Implementation of improved organizational systems (digital filing, reminders, dashboards).
Qualifications & Experience
- Bachelor’s degree in Business Administration, Communications, or related field.
- 3-6 years of proven experience as an Executive Assistant, PA, or Office Manager (experience supporting C-level executives is preferred).
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint), Google Workspace, and digital collaboration tools.
- Excellent written and verbal communication skills.
- Ability to multi-task, prioritize effectively, and manage pressure in fast-paced environments.
