Job Description
- The Head of Administration will oversee all administrative, facility, and support functions of the organization. This includes developing and implementing office and facility policies, managing vendor relationships, optimizing service delivery, and supervising the administrative team.
- You will play a key role in ensuring our work environment is organized, efficient, and compliant — supporting the business with reliable, structured back-office systems.
Key Responsibilities
Office & Facility Management:
- Oversee the daily running of the office to ensure a smooth, safe, and professional work environment.
- Develop, implement, and maintain office and facility management policies, procedures, and standards.
- Manage office space planning, renovations, equipment, and maintenance schedules.
- Ensure compliance with health, safety, and security regulations.
Vendor & Service Provider Management:
- Identify, evaluate, and manage relationships with third-party vendors and service providers (cleaning, security, utilities, maintenance, office supplies, etc..
- Negotiate and manage contracts to ensure cost-effectiveness and quality of service.
- Monitor vendor performance and service-level agreements (SLAs).
Administrative Leadership:
- Lead and mentor the admin team to ensure timely, accurate, and high-quality service delivery.
- Assign and delegate responsibilities to team members to ensure full office coverage and productivity.
- Support logistics planning for internal meetings, trainings, and corporate events.
Asset & Inventory Management:
- Maintain an updated database of company assets, equipment, and supplies.
- Ensure proper documentation, issuance, tracking, and replenishment of inventory.
Requirements
Experience & Skills:
- Minimum of 5 years experience in administrative or facility management roles, preferably in a tech, fintech, or corporate environment.
- Strong vendor management and negotiation skills.
- Excellent organizational, communication, and leadership abilities.
- Proficiency in using office and facility management software/tools.
- Strong problem-solving skills and attention to detail.
