Role Summary

The Procurement Associate will support the efficient sourcing, purchasing, and management of materials, services, and vendors across the Group’s operations. The role focuses on cost control, timely procurement, vendor coordination, and compliance with internal procurement standards.


Key Responsibilities

  1. Manage end-to-end procurement activities, from requisition review and vendor sourcing to purchase order issuance and delivery confirmation.
  2. Source, evaluate, and recommend qualified suppliers based on price, quality, reliability, and compliance with company standards.
  3. Obtain, analyze, and compare supplier quotations to ensure best value for money and cost efficiency.
  4. Support negotiation of pricing, payment terms, lead times, and service conditions with vendors.
  5. Prepare, process, and track purchase requisitions, purchase orders, contracts, and related procurement documentation.
  6. Monitor order fulfillment, follow up on deliveries, and ensure timely receipt of goods and services.
  7. Coordinate inspection and verification of delivered items to confirm compliance with approved specifications and quality requirements.
  8. Resolve procurement-related issues including delays, shortages, damaged goods, or invoice discrepancies.
  9. Maintain accurate and up-to-date procurement records, supplier databases, and transaction logs.
  10. Support inventory management by tracking stock levels, consumption patterns, and reorder points where applicable.
  11. Liaise closely with Finance to ensure proper invoice matching, approvals, and timely vendor payments.
  12. Work with Operations, Projects, and other internal teams to forecast procurement needs and support project timelines.
  13. Assist in supplier onboarding, due diligence, performance reviews, and contract renewals.
  14. Ensure all procurement activities comply with internal policies, approval limits, and ethical standards.
  15. Identify opportunities for cost savings, supplier consolidation, and process improvements.
  16. Prepare periodic procurement reports covering spend analysis, supplier performance, and delivery status.
  17. Support audits and management reviews by providing accurate procurement data and documentation.


Requirements

  1. Bachelor’s degree in Supply Chain Management, Business Administration, Accounting, or a related field.
  2. 1–3 years’ experience in procurement, purchasing, or supply chain roles.
  3. Basic knowledge of procurement processes, vendor management, and inventory control.
  4. Strong negotiation, communication, and organizational skills.
  5. Proficiency in Microsoft Excel and other MS Office tools.
  6. High level of integrity, accuracy, and attention to detail.
